How to set your salon’s hours, closures and location

5 min read

These three pages describe when the salon is open. They are in the Salon group and need the permission Change business settings delegated by the owner (the owner holds it; another role only if the owner gives it under People → Roles and permissions). Closures and holidays also opens with the narrower permission Add and remove closures and holidays, which the owner can give, for example, to the manager / front desk. Every change is written to the audit log.

Salon → Hours, staff and services gives an overview of the business hours, the staff members with their hours, and the services, each with its state, and a box with what online booking needs — titled Before you take bookings online while you do not take bookings online, and What online booking needs once you do. Online booking is off on a new site: clients book through the front desk until you turn on Take bookings online under Front desk → Online booking (see Booking online). Salon → Home visits, in the same group, is described there too. The steps to get started are under Overview → Get started.

Location #

Salon → Location is the one place where the salon’s time zone, country, address, phone and map point are changed. Everything else reads them from here. Only the name and the time zone are required.

FieldNotes
NameThe location’s name, shown in calendar files. It starts as the site name.
Time zoneThe salon’s time zone, chosen from the list, for example America/New_York. Every appointment time, the calendar, the opening hours and every date the administration area shows use this time zone. It starts as the time zone chosen in the installer. Set it before you take bookings (see Changing the time zone later below).
Country (optional)Chosen from the list, or Not set. A phone number typed without its country code is read as a number of this country (for example on the desk form). Leave it Not set and nothing is assumed: numbers then need their country code.
Phone: country (optional) and Phone number (optional)Choose the phone’s country, or International (+), and type the number as you dial it; it is saved in international form, for example +12125550123.
Address (optional)Free-form lines; no line is required.
Map point (optional): Latitude, LongitudeLeave both empty for no map point. The page explains how to copy the two numbers from a map.

Choose Save. The website’s business details — the address, the phone, the country name and the map point the website shows on its contact page and in its footer — are then updated from these fields. While the salon does not take bookings online, the website’s header offers “Call to book” with the phone from here (or “Contact us” when no phone is set); once it does, “Book now”. Change these details here, not in the website’s business profile: an edit there is replaced at the next save of this page.

Saving this page asks for your password again when you last signed in or confirmed it more than 10 minutes ago. What you typed is kept while you confirm: nothing is saved before, and your changes are saved right after you confirm.

Changing the time zone later #

Appointments are kept as moments in time. If you change the time zone after appointments exist, each of them shows at a different clock time (for example five hours earlier or later), and the opening hours and staff hours are read in the new zone. Before a new time zone is saved, the page lists the upcoming appointments and how their clock time moves, and waits: choose Save anyway to change it, or Don’t save. After such a change, open the calendar and move any appointment that must stay at its old clock time. The salon’s name is changed here too (and the site name on System → Website settings).

On System → Website settings the site’s time zone shows as “Managed on the Location page.” with a link here: it is only the installer’s starting value.

Business hours #

Salon → Business hours holds the salon’s opening hours for each day of the week, in the salon’s time zone.

  • A day can have several intervals, for example 9:00 AM – 1:00 PM and 2:00 PM – 6:00 PM.
  • A day without an interval is closed.
  • Times are typed in the format of the site’s Language and formats setting: 12-hour with AM and PM for en-US (for example 9:00 AM), 24-hour for en-GB (for example 09:00). Either form is read.
  • To end a day at midnight, type 12:00 AM (12-hour) or 24:00 (24-hour) as the end of its last interval.

Choose Save hours. Staff members are booked only inside both the business hours and their own working hours. A service’s clean-up time may run past closing time unless the owner switches that off (Booking: clean-up time may run past closing time on Salon → Business settings).

Closures and holidays #

Salon → Closures and holidays lists the days ahead on which the salon is closed, such as public holidays or a refurbishment.

To add one, under Add a closure enter:

  • First day;
  • Last day (optional) — leave it empty for a single day;
  • Label — for example “New Year’s Day”;

then choose Add closure. Remove takes a closure off the list.

Nobody can be booked online on a closed day.

When a change touches booked appointments #

New business hours, a closure or a new time zone can touch appointments that are already booked. Before saving such a change, the page lists those appointments (the first ten, each linked to its page) and saves nothing yet. Choose Save anyway to save it, or Don’t save.

Either way the appointments stay booked: the change never moves or cancels them. Check the calendar, contact the clients, or move the appointments yourself, if needed.
