Each morning Salon Booking OS by OsDot™ can send you, the owner, one e-mail with the day ahead and the day before. It is off on a new installation; you switch it on yourself.

What it tells you #

  • Today: how many appointments there are, and the first 20 in time order — the time, the client’s name, the services and who does them. More than 20 are counted (“and 4 more”). Cancelled appointments and no-shows are not listed.
  • Yesterday: how many visits were completed, how many clients did not come (no-shows) and how many appointments were cancelled.
  • Payments yesterday: the money taken and the money refunded under Payments — deposits paid online, shop orders, and payments you recorded as taken in person — in your site’s currency. “none” when there were none. Money you take at the salon without recording it under Payments is not counted.

An example:

Subject: Larkspur Salon today: 3 appointments

Good morning Alex,

Today, Saturday 10 October, at Larkspur Salon:
- 9:00 AM Cleo Client — Women's cut & finish (with Mei)
- 10:30 AM Dana Client — Root colour (with Ava)
- 2:00 PM Eli Client — Men's cut (with Noor)

Yesterday: 5 completed, 1 no-show, 0 cancelled.
Payments yesterday: taken $185.00; refunded none.

The calendar and the day's list are in the administration area.
Larkspur Salon

On a day without appointments the subject says “no appointments”, and the e-mail says “No appointments today.”

The summary is put together when it is sent, so it shows your bookings as they are at that moment. Like every e-mail from your site, it comes in your website’s look, with the same words for mail apps that show only plain text. It is a summary, not a report: for the full day open Front desk → Calendar, and for the month Reports.

Switching it on #

  1. Set up your site’s e-mail first: System → E-mail (SMTP) (see Messages, reminders, text messages and push). Without it, nothing can be e-mailed.
  2. Open System → Website settings and tick E-mail the owner a summary of the day each morning (from 7:00, the salon’s time). Save.

To stop it, untick the same box. A summary that was already waiting to go out is then not sent.

When it arrives, and to whom #

  • Once a day, soon after 7:00 in your salon’s time zone (the time zone of Salon → Location). The scheduled task that prepares it runs every hour, so the e-mail usually arrives a few minutes after 7:00. If your server’s scheduled tasks were not running at 7:00, it goes out the next time they run that day — never twice on one day.
  • To the owner — every active account with the owner role and an e-mail address. Managers and staff do not get it.
  • Like every message, it is listed on Messages with its outcome.

If it does not arrive #

  • Check that the box is ticked under System → Website settings, and that your account has an e-mail address (My profile).
  • Check Messages: a summary listed as Failed points at the e-mail settings; one that is not listed at all means the scheduled tasks are not running (see Scheduled tasks).
  • Look in your spam folder once, and mark the e-mail as safe.
