How to set up your services and prices

6 min read

Salon → Services holds the catalogue. Editing it needs the permission Edit services, categories, options and prices (the owner holds it). Every change is written to the audit log.

The list shows each service’s category, total time, price, how many staff members can do it and whether it is bookable online. A service is offered online when it is marked Bookable online and at least one staff member who is bookable online can do it — once you take bookings online (Front desk → Online booking, see Booking online). The front desk can book every active service.

Before you add services: the currency #

A service is priced in the site’s currency as it is when you create the service, and keeps that currency. Set the currency first (under System → Website settings, chosen at installation). If you change it after adding services, the existing services stay in the old currency, and online booking does not offer them until you re-price them. Before you save the change, the setting’s page says how many services it affects.

To re-price them, open Salon → Services: a note says how many services are priced in another currency and links to Re-price. Type each new price — and the new amount of a fixed deposit, and of an option’s own price or fixed deposit — in the new currency, then choose Save the new prices. Nothing is converted for you, and booked appointments keep the prices they were booked at.

Categories #

Under the category list on the same page, type a name under New category and choose Add. Rename a category or change its order in place. Description and picture opens a category’s own page: a Short description (optional) and a Picture, shown with the category on your website’s price list. A service may also have no category.

Add a service #

Choose Add service and fill in:

FieldNotes
NameAs clients will see it, for example “Root colour”.
CategoryOptional.
PriceIn the site’s currency. Tick from to show it as a starting price.
Work (minutes)The time the staff member works with the client. At least 5 minutes.
Processing (stylist free) (minutes)Optional. A gap in the middle of the service — for example while colour develops. Others can be booked with this stylist meanwhile.
Finish (minutes)The work after the processing gap, for example rinsing and styling.
Clean-up after (minutes)Time the staff member needs after the service. It blocks their time but is not part of the client’s appointment.
DepositNone, Fixed (an amount), Percent (of the price) or Full. See Deposits below.
PictureOptional. Shown with the service on your website and in the booking pages (see Pictures below).
At homeOnly for home visits: tick Available at home, and give an Extra price at home if it costs more there (Added to the price of each option at home.). See Booking online.
Who can do itTick the staff members who do this service.
Bookable onlineUntick it to keep the service for desk and phone bookings only.

The form shows the total time, including the processing gap. It is worked out when the form opens and again when you save, not while you type.

Under More settings:

FieldNotes
DescriptionA short description.
Preparation before (minutes)Time the staff member needs before the service. Like clean-up, it blocks their time but is not part of the appointment.
Slot spacing (minutes)How far apart the offered start times are. Empty uses the default (15 minutes, Booking: default slot spacing).
Tax classLeave standard.
ColourOptional, in the form #3366CC.
OrderThe position in lists.
StatusActive, or Inactive (never offered).

Durations are in 5-minute steps. A service has at most one processing gap, and finish work follows it.

How the timing works #

A colour service with Work 20, Processing 35 and Finish 35 minutes takes 90 minutes. The staff member is busy for the first 20 minutes, free for the next 35 — the calendar leaves that time open and other clients can be booked with them — and busy again for the last 35.

Preparation and clean-up time sit before and after the service. When the same staff member does two services of one appointment back to back, the clean-up of the first and the preparation of the second are left out: only the preparation before their first service and the clean-up after their last service apply. A different staff member for the next service keeps their own times.

Pictures #

A service’s or a category’s picture is chosen from your media library, or uploaded there and then. Under the button the page says what works best: a landscape picture, 4:3 — 1600 × 1200 pixels recommended, at least 800 × 600, with the subject near the middle; JPEG, PNG or WebP. Set the focal point on what must stay in view. A picture smaller than recommended, or far from 4:3, gets a warning; a warning never refuses a picture.

Show the finished look or the treatment itself. Use photos you own, and show a client only with their written consent.

Options #

Open a saved service to see its Option list, and choose Add option for a variant such as “Long hair”. Leave a field empty to use the service’s value, shown as the placeholder:

  • Work, Processing (stylist free), Finish, Preparation before and Clean-up after (minutes);
  • Price, and whether it is a “From” price (As the service, Yes, No);
  • Deposit (As the service, None, Fixed, Percent, Full) with its amount or percentage;
  • Order and Status.

The option list shows each option’s time and price (and its price at home, for a service available at home).

How options are booked. Online, a service with options is booked as one of them: the client picks one under the service (“Choose one”). At the front desk, New booking lists a service’s options as a group: choose one. Add an option for each variant your clients choose from.

Deposits #

A deposit is paid online, when a client books online, through a payment gateway set up under System → Stripe, PayPal or Razorpay. The review asks for it and holds the time while the client pays; the rest is paid at the visit. How it works for the client is in Booking online; the gateways, paying at the salon, cancellations and refunds are in Deposits and paying at the salon.

  • While you do not take bookings online, or with no gateway set up, leave the deposit at None. A deposit set here then only shows as due on its appointments. The service form says the same next to the deposit.
  • With deposits set but no gateway set up, clients cannot book that service online: the review asks them to call you.
  • A deposit is never taken at the desk: on an appointment booked at the desk, by phone or as a walk-in it only shows as Deposit due.
  • Taxes apply only once you add rates under Payments → Taxes.
